TERMS OF CANCELLATION

 Book your conference well aware of the venue's terms of cancellation!
  Make sure you are sure about the terms of cancellation which apply at your venue when booking your conference. This way you avoid unpleasant surprises such as cancellation fees.

Most venues follow the recommended rules by SHR but sometimes a venue may have formed their own terms.

Many venues have different terms depending on the size of your group. Sometimes, there is a longer cancellation period for very large conference facilities.

Most conference venues follow their cancellation terms closely. This since conferences often are booked far in advance, and the closer you get to the appointed date, the less is the probability of receiving a new booking if the first one is cancelled. Consequently, if a conference is cancelled it is likely that the venue cannot replace the booking and therefore loses the income. With the incentive of preventing this from happening, venues keep their agreed terms of cancellation.

If a venue should succeed in replacing the booking and in such cases, the venue often refrains from charging cancellation fees.

Book on the small side!
Generally, it's preferable to book on the small side rather than too many as a safety.

On the other hand, you can then not be 100% sure to get the needed capacity in accommodation and/or facilities.
Here, every booker needs to prioritse either optimising the booking or risking cancellation fees.

when the booking contains single rooms, this possible issue can be solved easily by having some delegates share a double room. If there is a need for a larger facility, perhaps several smaller ones suffice?
