Advance planning!

  Try, if possible, to book your conference far in advance. This way, the chance of getting the most suitable conference venue a lot better. Many congress and conference bookers book their meeting up to a year in advance, and sometimes even longer for large conferences.
   
  Peak season in the conference business
  Autumn is without a doubt the season with the highest frequency of conferences. From mid-August to the end of November, most venues are fully booked. About 2/3 of the meetings in one year take place during this period.
   
 

Advice to keep the costs down

  Many Swedish conference venues moved away from set prices, and now work with varying prices according to demand.

Should you wish to negotiate the price for a conference, it is advised to choose a low intensive season for your meeting.

For a low-budget conference, choose winter/spring rather than autumn.

Mondays and Tuesdays are lower in price in general than Tuesday-Friday.

Many venues have attractive weekend prices for Friday-Saturday.

Double rooms are cheaper than single rooms.

The further away fromthe big cities you get, the cheaper are the prices in general. If there is need for transportation, this cost is usually smaller than what you save compared to being in the city.
